Volunteer at the 2017 NASPA Annual Conference

Help make the 2017 NASPA Annual Conference a huge success in San Antonio, Texas by serving your association as a volunteer!

Each year the NASPA Annual Conference runs on the hard work and dedication of the hundreds of individuals who volunteer their time and energy. Please read the various volunteer descriptions below and specify your preference online by following these steps:

Below is a list of volunteer opportunities that will be available for sign-up.  During the conference planning process, new opportunities will be added to the portal as quickly as they become available.

Educational Sessions and Session Scanning

A new option for 2017 is to act as a badge scanner for educational sessions. Scanning attendee badges eliminates the need to print tickets for events and provides our members with a customized conference evaluation. It will also help us analyze popular topics so that we can plan future workshops and educational opportunities that better meet our members’ needs. Volunteers should also visit rooms in between sessions to make sure that the presenter is in the room, ready to present their session, and have all that they need.  Volunteers will not need to introduce the presenters. 

Exhibit Hall

The Exhibit Hall is in need of volunteers to help with the following tasks: Check in Exhibitors at the exhibitor registration counter; Assist exhibitors during exhibit hours with any questions; Prepare exhibitor packets for registration; and inform exhibitors about rules and regulations, and report any violations of these policies.

First-time Attendee Engagement Area

First-time Attendee Engagement Area volunteers will staff this area to greet first-time attendees and answer questions related to the conference such as how to navigate the program book, selecting educational sessions, and any questions related to attending socials and receptions.  This is a great way to welcome professionals and students who are new to NASPA and the annual conference.

Hospitality

Knowledge of the local area and activities is a must! Help participants with questions about the local area, restaurants, and transportation.  Assist attendees with general questions regarding the conference schedule, program booklet, hotel locations, and other miscellaneous assistance as needed.

Opening Reception

Volunteers will be strategically posted to help guide participants from the Opening Session to the Opening Reception.

Opening Session

Volunteers are needed to assist with VIP seating assistance.

Pre-conference Workshops

Volunteers are needed to scan attendee badges at the door in the beginning and be available in the room throughout the pre-conference workshop for late arrivals.  If technical problems or facility issues arise, volunteers will liaison with the appropriate contacts to resolve any problems.

Please Note: Only one volunteer is needed for each workshop. You will be able to volunteer for the specific workshop you would like to attend. Volunteer positions are first come, first serve. If a workshop is no longer available, it will no longer be posted in the Volunteer Database.

Registration and Self Check-in

Volunteers will assist with helping pre-registered attendees pick-up their conference related material such as name badge, program book, conference bag, and other conference related materials.  Line management assistance may be required as well.

Special Projects

NASPA will need other volunteers to perform special projects throughout the conference. Specific duties are yet to be determined. If interested in volunteering in this category, you will be placed where the greatest need is at the time block you specified.  Volunteers in this category should check-in at Volunteer Central on-site to get their volunteer assignment.

Volunteer Central Check-in

Volunteers are needed to staff the Volunteer Central Check-in the Convention Center. Duties include: Checking in volunteers and providing them instructions for their location/assignment;

Reassign volunteers if needed; and troubleshoot and assist with all volunteer needs (ex. may need to assist with finding locations).
